In this demonstration, we introduce the capabilities of Doxserá® DB and show how it handles large data sets, making it ideal for law firms, insurance companies, venture capitalists, and other professionals managing thousands of names and addresses. Instead of relying on limited grids, Doxserá® DB allows you to connect your forms to external data sources like Excel spreadsheets, Outlook, and SQL databases to automate document creation with greater efficiency.

Here, we work with a mailing list stored in an Excel spreadsheet containing over a hundred names and addresses. The key feature we use is the key column, an essential element that assigns unique identifiers to each row in the spreadsheet, making it easier for the software to locate and extract information.

Once we set up the key column, we create a new data source in Doxserá® DB, linking the software to the mailing list. The beauty of Doxserá® DB is that the data source can be used repeatedly across different forms without needing to be re-entered. This integration saves time and increases productivity.

Next, we design a form with a questionnaire that allows users to select recipients from the mailing list using checkboxes for multiple selections. The system pulls data such as first names, last names, addresses, and city, state, and zip codes directly from the data source. The user selects which names to include, and the form dynamically generates individual letters for each selected recipient.

To improve usability, especially when dealing with hundreds or thousands of contacts, we add a region filter. This feature allows users to narrow down their choices by selecting a region (such as a state) first. Based on this region, the list of potential recipients is filtered to only display those who meet the criteria, making it far easier to manage large datasets.

Doxserá® DB’s ability to seamlessly integrate large amounts of external data and automate document creation enhances both productivity and accuracy, especially when handling large volumes of names and addresses.
