Doxserá DB, Creating Personalized, Customized Letters
Letters that go beyond mere personalization to complete customization depending on circumstances
The form will contain a questionnaire that asks, "Who gets a copy of this letter?" Using Doxserá® DB's Smart Answer feature, we can create a drop-down list of names pulled from an external data source, like an Excel spreadsheet or a SQL database. Each recipient will be selected individually, but the system allows for the automatic creation of multiple letters—one for each person selected from the data source.
Here’s how it works:
- The form author sets up the fields for recipient names, addresses, and any additional information such as overdue amounts or custom messages.
- Rather than sending one letter to multiple recipients, this method creates separate letters for each recipient, personalizing every document with their name, address, and other data points.
- If the user wants to generate a large number of letters, they can use the MultiDoc feature. By selecting multiple recipients, the system will automatically generate as many letters as needed in one process.
After selecting multiple recipients, Doxserá® DB generates individual documents for each, naming and saving them automatically based on custom file-naming conventions. For example, files might be named "Letter to [Recipient Name] [Sequential Number]."
This process eliminates human error, saves time, and ensures accuracy. The form author can also pre-set the form to always operate as a MultiDoc, so the user doesn’t have to configure it each time. Simply click Fill, and Doxserá® DB will create all the letters in one smooth operation.
