Doxserá® DB is designed to revolutionize document automation by leveraging external data sources such as Excel, Access databases, Outlook contacts, and SQL databases. Whether these sources are stored locally, on a business network, or accessed via the cloud, Doxserá® DB can pull and manipulate data seamlessly to generate documents.

For this demonstration, we use a simple Excel spreadsheet with two worksheets: one for companies and another for people. The people worksheet identifies individuals and their roles (officer, shareholder, director) within each company, creating a relationship between the two datasets. Relationships like these are key in ensuring that information remains organized and easily retrievable.

Let’s assume you’re a lawyer managing corporate clients and you need to send out annual meeting notices to shareholders. Doxserá® DB offers four approaches to handling this task, each progressively more sophisticated.

Approach 1: A basic form asks for the date of the meeting and the recipient’s name. By linking the form to the Excel spreadsheet, you can click “fetch,” and Doxserá® DB will pull the recipient’s details from the spreadsheet, generating a personalized letter with all relevant information about the company and shareholders.

Approach 2: Instead of creating one letter at a time, you can use MultiDoc to select multiple recipients and generate letters for several shareholders in one go, automating the process further.

Approach 3: For larger datasets, selecting each recipient manually can be time-consuming. By asking for the company name, the form filters the recipients based on their association with the selected company, saving time and reducing errors.

Approach 4: The most advanced option involves no human input at all. The form automatically generates letters for all companies scheduled to hold meetings next month, identifying shareholders, officers, and other details directly from the data source. With the click of a button, you can create hundreds or even thousands of letters in minutes, reducing human error and saving significant time.
